Separation By Design is seeking an AR Clerk to support the company’s billing, collections, customer account maintenance, and general office administration functions. This role will assist with preparing and entering invoices, following up on outstanding customer balances, sending customer statements, matching invoices related to sales orders, parts orders, and drop shipments, and supporting front desk duties as needed.
This position is onsite and requires strong attention to detail and the ability to manage both accounting-related tasks and administrative responsibilities in an office environment.

- Monitor and contact customer accounts and assist with collection efforts on past due balances.
- Prepare and send customer statements on a regular basis.
- Maintain accurate records of collection activity and customer communications.
- Assist with resolving billing questions or invoice discrepancies.
- Enter invoices related to sales orders and parts orders.
- Match invoices and supporting documentation for drop shipment transactions.
- Review invoice details for accuracy, including customer information, order details, pricing, quantities, and related documentation.
- Coordinate with internal departments to obtain missing information or resolve discrepancies before invoices are finalized.
- Answer incoming phone calls and direct calls to the appropriate person or department.
- Assist with filing, scanning, organizing, and maintaining office records.
- Support general administrative tasks as needed to help maintain office workflow.
- Prior experience in accounts receivable, billing, collections, office administration, or customer service preferred.
- Experience with sales orders, parts orders, invoice matching, or drop shipment documentation is a plus.
- Basic understanding of accounting or bookkeeping concepts preferred.
- Comfortable using Microsoft Office, email, and business software systems.
- Strong attention to detail and accuracy.
- Ability to follow up consistently and professionally with customers.
- Associate’s or Bachelor’s degree preferred; equivalent experience accepted.
- 1–3 years of accounts receivable, billing, collections, cash application, or general accounting experience preferred.
- Proficiency with Microsoft Office (Excel, Word, Outlook), NetSuite, or similar systems.
